  • Heating, cooling, ventilation, or indoor-air-quality issue
  • System symptoms, sounds, smells, leaks, or error messages
  • When the problem began
  • Occupancy and property access
  • Equipment type and age if known
  • Preferred service timing and authorization contact

Urgent routing

  • Conditions the contractor has specifically defined as urgent
  • No heat or cooling where vulnerable occupants may be affected
  • Electrical smells, smoke, flooding, or other safety concerns routed according to approved policy
  • Commercial outages affecting operations or protected inventory

Important boundaries

Do not instruct a caller to work on energized equipment, promise an arrival time that dispatch has not approved, or quote work outside an approved pricing policy.
